How dealerships use the VIN API for vehicle sourcing

Published 14 March 2026 ยท 6 min read

Used vehicle sourcing is the lifeblood of dealerships and used car traders. Every vehicle entering stock must be identified, described and valued with precision. The AutomotivAPI VIN API turns this step into an automatic and reliable process.

The traditional dealership workflow

Without an API, the process of taking in or purchasing a used vehicle involves several manual steps:

  1. The salesperson requests the registration document and manually copies the VIN
  2. They look up the model on manufacturer websites or in paper reference sheets
  3. They identify the trim by comparing visible equipment with catalogues
  4. They enter information field by field into the DMS (Dealer Management System)
  5. They estimate the vehicle value by cross-referencing market listings

This process takes an average of 15 to 20 minutes per vehicle and is prone to numerous errors: trim confusion, misidentified equipment, approximate technical data.

The workflow with the VIN API

With the VIN API, the process is reduced to a few seconds:

  1. The salesperson scans the VIN (barcode on the registration document or chassis plate) using a reader or mobile app
  2. The application sends the VIN to the AutomotivAPI API
  3. The API instantly returns: make, model, exact trim, engine, standard equipment, installed options and technical data
  4. The data is automatically injected into the DMS
  5. The salesperson simply validates and adjusts the trade-in price

Benefits for the dealership

Identification accuracy

The API identifies the exact trim of the vehicle, which is crucial for valuation. The value difference between a Peugeot 3008 Active and a 3008 GT can exceed 5,000 euros. An identification error translates directly into financial loss at resale.

Processing speed

Processing time drops from 15-20 minutes to under 30 seconds per vehicle. Over a volume of 200 trade-ins per month, this represents more than 50 hours of saved labour -- time salespeople can dedicate to customer relationships.

Listing enrichment

The comprehensive data retrieved via the API enables automatic generation of detailed listings for online sales portals. Listings with complete and accurate specifications receive more enquiries and sell faster.

DMS integration

The API integrates directly into the leading DMS platforms. Vehicle data automatically populates stock records, purchase orders and sales documents. For more on DMS integration, see our dedicated article on ERP and DMS integration.

Mobile VIN scanning

Many dealerships equip their sales teams with mobile apps featuring built-in barcode readers. The VIN, printed as a barcode on the registration document and on the chassis plate, is read in one second. The app sends the VIN to the API and displays the complete vehicle record on the smartphone or tablet screen.

This approach is particularly useful for off-site trade-ins (home visits, shows, fairs) where DMS access is not always available.

Cost and return on investment

A full VIN decode costs 3 credits per request. For a volume of 200 vehicles per month, the API cost is negligible compared to the time saved and errors avoided. Return on investment is typically achieved within the first month of use. See our pricing page for details.
